Production & Operations Coordinator
Full time, Hourly, In-person, Seattle (Madrona)
Position overview
Valerie Madison Fine Jewelry is seeking a highly organized, detail driven Production and Operations Coordinator to support the day to day execution of our production, inventory, and fulfillment workflows.
This is a hands-on role for someone who enjoys bringing order to complex processes and taking pride in seeing work through from start to finish. You will support the full lifecycle of jewelry production, inventory tracking, and order fulfillment while helping ensure our high standards for quality and customer experience are met at every step.
This is not a manager role today, but it is a growth role. The right candidate can grow into a Production Operations Manager over the next 1 to 2 years by demonstrating strong ownership, consistency, and sound decision making.
What you will own day to day
Production coordination
- You will process orders with production partners and track timelines from start to finish
- You will intake incoming shipments, sign off on deliveries, and perform quality control checks
- You will log and return memo packages and maintain gemstone certifications
- You will flag delays, risks, or quality issues early rather than letting problems compound
- You will look for opportunities to improve efficiency and reduce friction in production workflows
- You will complete final quality control before items ship, including sizing, finish, and hallmark verification
Fulfillment and shipping
- You will process, package, and ship all customer orders with care and accuracy
- You will manage orders across Shopify, email, ShipStation, and Malca Amit
- You will troubleshoot shipping issues proactively, including working directly with carriers and customers
- You will prepare vendor returns and outgoing memos, including weighing stones and creating labels
- You will coordinate in store pickup orders and communicate clearly with customers
Ecommerce and customer support
- You will assist customers with shipping requests, reroutes, package holds, and other logistics tasks
- You will communicate order updates clearly and proactively
- You will process customer returns in line with company policies
- You will help maintain accurate inventory levels online and in store
- You will partner with the ecommerce team to ensure product availability, pricing, and discounts are reflected accurately
Reporting and inventory support
- You will conduct regular audits of jewelry inventory and shipping supplies
- You will pull Shopify reports and support analysis of purchasing trends
- You will help ensure inventory systems match physical reality so production and fulfillment are never blocked
- You will research and implement improved inventory management tools
Facilities and studio support
- You will help keep office and production spaces organized and functional
- You will restock shipping and packaging supplies and support product readiness
- You will assist with mail, equipment coordination, and basic facilities needs
- You will support store events as needed, with occasional evening or weekend availability
What success looks like
- Orders move through production and ship on time
- Inventory records are accurate and reliable
- Problems are surfaced early, not discovered late
- Strong processes are created so that staff can fill in if you are absent
- Customers receive clear communication and well presented packages
- Leadership and sales have visibility into what is in progress and what is at risk
- Willingness to support other teams with tasks not directly outlined but supportive of the business’ needs
What this role is not
- This role does not own sales goals, pricing decisions, or creative design direction
- This role does not require working excessive hours to be successful

Qualifications
- Exceptional attention to detail
- Strong sense of ownership and follow through
- Ability to prioritize time sensitive tasks in a fast paced environment
- Clear and professional communication style
- Comfort learning systems such as Google Drive, Shopify, ShipStation, Malca Amit, and FedEx
- Ability to problem solve independently and ask for help when needed
- Ability to lift up to 25 lbs
Physical requirements
- This role requires regular sitting and standing, computer use, and fine motor skills
- Occasional lifting of boxes and materials up to 25 lbs
- This role requires in person work at our Seattle store location
Compensation and benefits
- $28 to $32 per hour depending on experience
